Job Description

We are seeking a reliable and organized Office Assistant to join our team. The ideal candidate will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. This role is crucial for maintaining smooth office operations and contributing to a positive work environment.

Key Responsibilities

Administrative Support:

Assist in daily office needs and manage general administrative activities.
Organize and schedule appointments, meetings, and events.
Maintain contact lists and manage correspondence (email, letters, packages, etc.).

Office Organization and Efficiency:

Maintain office filing and storage systems.
Ensure office equipment is properly maintained and serviced.
Monitor and order office supplies.

Communication and Coordination:

Serve as the point of contact between executives, employees, clients, and other external partners.
Handle requests and queries promptly and professionally.
Coordinate with IT department on all office equipment.

Data Entry and Record Keeping:

Update and maintain databases such as mailing lists, contact lists, and client information.
Prepare and modify documents including reports, drafts, memos, and emails.

Assistance to Management:

Assist in the preparation of regularly scheduled reports.
Provide support to managers and employees in daily office operations.
Undertake occasional receptionist duties.

Skills and Qualifications

Proven experience as an office assistant, administrative assistant, or in another relevant administrative role.
Proficiency in MS Office (MS Excel and MS Word, in particular).
Excellent time management skills and ability to prioritize tasks.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational and planning skills.
High school diploma or equivalent; additional qualifications will be a plus.
